Terry Cook asked if this is because of private cleaning company, or is this a problem at all
schools. Gus that supervision in the other school buildings seem to be handled by the
custodians.
Robert Whritenour suggested that we go over each item the sheet Gus passed out and ask
questions at that time.
In reviewing Recommendation Sheet that Gus passed out, each item was gone over.
1. Anything after 4 PM, weekends and summer use will go through Leisure Services.
a. Need to clarify and write exactly what needs to be done if rescheduling or
cancellation occurs.
Pat Riley asked if something is scheduled in the gym on a Friday and it gets
canceled to the next night, do sporting events go first? Robert Whritenour mentioned that
in the event of postponement or cancellation, the principal will notify Leisure Services at
earliest possible time to do rescheduling.
a. If school activity takes place during the above time, they must go through Leisure
Services and fill out Facility Request Form.
2. Supervision at high school. Robert Whritenour - Gus means that Leisure Services
Office and staff will be supervising building and maintaining staffing.
a. Leisure Services should have a key to the entrance door that is used in the
evening. Perhaps a special key could be made for that particular door. Everyone in the
building should be background checked.
c. When Quashnet School or K. C. Coombs School is being used, we have
custodian open and close the building. Cleaning Company will come in at the end of the
day.
3. Gus questioned what happens if AV Tech is not available, i.e., on vacation, out sick?
4. It was suggested here to add and follow up. Robert Whritenour mentioned that Gus
was going to have a notice to teachers and have a meeting in the fall to hand out information
to the teachers regarding facility request forms.
Terrie Cook said that the Tuesday before school starts there is a meeting. Perhaps Gus
could attend this meeting regarding Facility forms.
5. Robert Whritenour wants to avoid any special fees for Leisure Services and to specify
outside organizations. Add fall of 1997.
Items 6, 7 and 8 of the Recommendation Sheet looked okay.
Gus would like another small group meeting with Dr. DeMoura, Terrie Cook, Ken
Marsters, Sheila, etc.
III. COMMUNICATIONS - Gus gave out copies of a letter from Dr. DeMoura, John
Harrington to Jim Marr, Morgan Peters regarding use of Facility during the Summer. Gus
mentioned that until we finalize our usage, Morgan Peters is using the Recreation Building.
Letter from Ron Bock.
Linda Young has resigned, and we have an opening on our Committee. Rotary Club is
forming in Town. Next meeting will be July 14, Monday at 5:15.
Many of the programs for summer are filled - Summer Activities Center, Kids Klub
Summer Camp, Adventure Club, Swimming lessons.
