MASHPEE CULTURAL COUNCIL Minutes of the Meeting—Regular Session Monday, October 31, 2016 Mashpee Senior Center Present: Nina Cocomazzi, Barbara Cotton (Ex Officio), Sarah Daley, Robert Mendes,John Miller, MaryKate O'Brien, Don Orkin (Guest), Bruce Taggart, Dawn Thayer, Lynne Waterman Meeting officially called to order at 9:25 am. Member,guest introductions. Two new members introduced: Nina Cocomazzi, MaryKate O'Brien. Secretary's Report: Sarah Daley Bob Mendes made a motion to accept the minutes from the October 6, 2016 meeting. Motion was seconded by Bruce Taggart. Motion passed unanimously. Treasurer's Report: Bruce Taggart Final Review of available funds We have$5,695.00 available to grant for 2017 requests. We may reserve up to$225.00 of this total for administration expenses. If any of our reserved funds are not spent,that amount will be put towards our 2018 grant requests. Assuming we take the full $225.00,we will have$5,470.00 to grant and we must grant it all. We can also plan to use up to$675.00(15%) of our 2017 allotment of$4,500 from the state)for a Council- initiated program we plan. If for some reason our program plan does not happen, the money would be rolled over to the 2018 grant giving. By using the$675.00 for our project,we would only have $4,795.00 available to give out to other projects at our voting meeting on the 14" The$90.00 from the town is a totally separate amount from the above. We can use it for administrative costs or for granting this year. Discussion/vote on how much to grant, how much to set aside for administrative costs, how much to set aside for Community Event/Council Initiated Program. Sarah Daley handed out a current contact information and end of term lists for review. Please update to be sure that member information and end of term dates are correct. Don Orkin was thanked for attending and for his interest in becoming a Cultural Council member. Regular Session Closed Additional Topics Grant awarded to Mashpee Recreation Dept.to hire a performer at Oktoberfest. Since Oktoberfest was canceled due to inclement weather;the Rec. Dept. sent a letter to the Council asking for a venue change; the venue was changed, but there was no mention of the Rec. Dept. being a direct sponsor of the event (Parade in Mashpee Commons), and the performer went on as planned. In the future, when grant monies are awarded for an event performance,and if the event is altered in any way, members should follow up to clarify plans.
