Special Events Committee
Minutes
July 19, 2016
Present: Mark Lawrence, Jack Phelan, Heidi McLaughlin, Mary Bradbury, Ronnie Warden, Mary Derr,
Margie Phillips
• Review and comments regarding Community Picnic 2016:
1. Fireworks were weak this year, increase the budget for next year. Discuss with Atlas and
secure July 1, with July 2 for next year.
2. Vendors have them be there longer, increase the hours to start at 3 PM, maybe a parade or
children's events and family events.
3. Get new sponsors, maybe apply for grant money
4. Use a DJ next year, add African drumming group, Reggae music, Street Performers
5. It was good to have the rain, it offset the potential for brush fires. For next year, if there is
no rain, soak the wooded area.
6. BOH had one vendor that was having issues with food temperature, otherwise food vendors
were compliant
7. Not enough port -a -potties, one bank of 14 with lights and washstands
8. Hose access for vendors, access to running water
9. More trash barrels
10. Good to have one propane permit for event, easier for FD to administer
* Oktoberfest
1. Currently 38 vendors signed up
2. Potential for the "Pumpkin Patch" to be using the Commons Green as well. If so, shift
toward Steeple Street, use sidewalk for vendors.
3.. Possible T-shirts to sell or commemorative, Artichoke Girls screen print
Respectfully submitted,
Mary K. Bradbury
