Special Events Committee Minutes August 23, 2016 Present: M. Bradbury, H. McLaughlin, M. Lawrence, R. Warden, M. Derr, M. Phillips, W. Taylor, T. Rose, S. Stogel Oktoberfest 2016 • Currently .63 craft/non profit vendors and 9 food vendors. o Mary suggested 1 group agreed to invite 3-4 "regular" vendors from this year's Farmers Market "gratis" as a concession to less -than -expected turn out at the Market. Mary will provide these names to Susan who will send out invitations from the registration system. • It is agreed that commercial vendors or those seeking signatures will be placed in one row away from those selling crafts or food. • Currently there are no plans for Saturday Oct. 1 at the church until a Spm wedding. • The Road Race will not be happening on Oct. 1. This will diminish attendance somewhat. • It is TBD whether the Library will be open to the public. Wayne will follow up and advise the Committee. • It was agreed that the "rain call" will be Friday morning unless there is a reliable prediction earlier (like last year.) • Set up will begin at gam on Friday by DPW and Special Events Committee members. Set up for vendors will begin at lam on Saturday. • Susan will contact the food vendors to determine if they will be using propane. • Mary will square away the insurance issues with the Commons. • Heidi reviewed the entertainment schedule. o Agreed to add a Barrel Roll. Susan will try to locate the barrels. o Agreed to have the Jaws of Life demo again. Jack will follow up. Next Meeting will be Tuesday, September 13 at 9:30am, meeting room 2, Town Hall.
