Special Events Committee Meeting <br /> May 21, 2015 <br /> Minutes <br /> The meeting was called to order at 1.0:05 am. <br /> John Gamache, Mary Bradbury, Heidi McLaughlin, Margie Phillips, Mark Lawrence,Susan Stogel <br /> 1. CCB-Media agreement update <br /> a. We have decide to table this until next year citing concerns about drawing additional people <br /> to the event and parking/safety constraints <br /> b. Susan will reach out to Bev to see if we can stili get them as a DJ and to donate their time in <br /> exchange for exposure <br /> 2. Everyone liked the new banners that Susan designed.Very nice,fresh, updated look to them. <br /> 3. A review of Memorial Day Ceremony logistics. Everything is in order and Susan will help with <br /> refreshments <br /> 4. Ben Tobin's letter of resignation was accepted by the Committee. Unanimous vote <br /> 5. Heidi offered an update on Community Picnic <br /> a. Bounce Houses/Dunk Tank from the base <br /> b. Mike Sexton is to reach out to Barney re: K-9 demonstration (6:7.5 until 6:45 PM) <br /> c. The bicycle stunt show will be from 7:30-5:15 <br /> d. Hazy, Hot and Humid will be performing 2,45-minute sets; 6:45-7:30 and 8:15-9:00 PM (cost <br /> is$750.00) <br /> e. Fireworks are all set, Mary will confirm <br /> f. The decision for a re-scheduled date (July 2) due to rain will be made by noon on June 30t <br /> g. Henna Design vendor will pay the$75 fee and stick to simple designs.There was some <br /> concern about her ability to handle the large numbers. Heidi will speak with her again. <br /> h. Discussion about the vendor mix of large food trucks such as Nutmeg and the ability for <br /> smaller, local vendors such as the Boy Scouts, and others being able to compete. We have <br /> grown over the years and the event is becoming much larger than a "small, local, <br /> community picnic". It was determined that this may be a transitional year to go with larger <br /> vendors that can handle the volume of event patrons without the long lines throughout the <br /> night. Mark mentioned that he thought some of the smaller vendors would pull out if they <br /> know there are bigger, commercial vendors present. <br /> i.
