- -- - - <br /> Finally, we come to the`Ia5t major change addressed in the new Open Meeting�Law—minutes. -First and foremost, <br /> you are now required to keep,hrinutes for'all meetings. Your minutes mist include date, time location, members <br /> present and members absent: -Additionally, your minutes must retain at dok�ments,photographs, recordings, maps, <br /> • y, is etc. It will not be necessary to submit these documents to this off e; however,'.a list.'of documents and other <br /> exhibits used at the meeting must be included, along with the decisions made and actions taken for each agenda <br /> item. A roll-cal[vote must be.taken for each item voted in executive session and said,vote is to be,entered into the <br /> hin ten days. The <br /> minutes. Also, upon request, minutes from your open meeting must be made available wit <br /> minutes may be either in "approved" or "draft" format. The official minutes must be made available within a <br /> reasonable amount of time. The Open Meeting Law considers two to four weeks a reasonable amount of time. <br /> I realize that the new Open Meeting Laws may appear cumbersome; however, rest assured that these new <br /> requirements are in the best interest of both the governmental body and the public. It guarantees transparency. <br /> Attorney Patrick Costello, Town Counsel for Mashpee, has developed a review of the Open Meeting Law, pointing <br /> out the changes in an easy-to-understand format. I have attached his review (see attachment 5), which clearly <br /> addresses all changes to the Open Meeting Law. I suggest that a copy of the review be given to each member of <br /> your Board, Commission,or Committee. <br /> Of course, my staff and I are here to help you in any way.
