k , <br /> Finance Committee March 7,2000 2 <br /> BUL)GET REVIEW: GUS FREDERICK, Sl�� SRVI ►S <br /> Mr.Gus Frederick,Jr.,Director,Leisure Services,was present to review the]Fisch Year 2001 <br /> Budget for the Leisure Services Dep rtmgit. <br /> Mr.Arden questioned lir.Frederick on the computer program package he is requesting in his <br /> budget. <br /> Mr.Frederick stated that presently they do the registrations for thetir programs by hand and <br /> hen transfer the class lists and other items onto spreadsheets to be handed out to Mnstructors. <br /> The last few years,the department has grown so much in various areas,whether it is facilities <br /> scheduled,registering children for after-school programs,or registering adults for adult <br /> education classes. `herefore,they need to be more efficient to keeping track of registrations, <br /> keeping better databases,and being able to formulate uncial statements i a much more <br /> streamlined way. <br /> Mr.Frederick noted that there have been a number of programs they have been trying to <br /> evaluate that are conducive to recreation and adult continuing education programs. They <br /> have looped at particular programs they are interested in and are being used lolly— <br /> ecware ming used by Sandwich and RecTrak being used by Barnstable R=eafion <br /> Department. <br /> Mr.Frederick said he Iis working with Steve Buss,Network Manager. Steve will be going <br /> Tong to loop at the programs in their setting in Sandwich or Bamstable and get a feet for <br /> wht those computer programs can d . <br /> He said that they are at the point now that they have so many computer registrations and <br /> attendance and it is difficult keeping trach of who is up-to-date with their payments, <br /> especially with the after-school,pyre-school,and summer camps. He thinks they are <br /> duplicating and soetiYness triplicating some of the activities that they are doing in regards to <br /> registering. <br /> They also accept MasterCard and visa for payment and this has been continuing to increase <br /> over the years. <br /> The sowre would also assist them into moving towards registering online. They also have <br /> web site that is tied in with the Town and the Chamber of Commerce. He noted that,in <br /> talking with Sandwich who runs a large Community School Program,that the trend is to <br /> utilize that aspect of registering people. <br /> Mr.Arden commented on general database programs,such as Microsoft Access;however, <br /> they would need to be set up for this application. Mr.Frederick stated that just to get a <br /> database of people in their programs,they had someone recently write that and it took a <br /> while. <br /> Mr.Frederick commented that with the new program,everything is built in as far as being <br /> able to schedule the facilities and it ties into a financial package as well and will produce <br /> class lists. He also commented that,because they have an office at the high school,they are <br /> getting more and more requests to allow registration at the high school. He said they haven't <br /> allowed that because they do not have the technology to do that because if sorneone registers <br /> over there,they do not know if they have room in the class. With the new software,they <br /> would be able to do that and they would 't have to worry about duplicating the classes <br /> overfill. <br />
