TSTS MEETING <br /> TUESDAY,Y,JUNE 149 2011 <br /> MASH L' LIBRARY CONFERENCE ROOM <br /> Present:John Kowalski,Patricia Gamache,,lane flan, Sue McGarry, Carlo I ' ste,and Sandra Lahart. <br /> Absent: David Burton. + <br /> Also Present:Kathy Mahoney,Library Director <br /> Barbara Notarius–President,Friends.of the Library <br /> Nancy Soderberg–Friends of the Library <br /> Mike Richardson–Board of Selectmen <br /> Helene leFoe–Retired Library Director <br /> Audience: Geoff`Spillane–llashpee Enterprise <br /> Jack Kowalski, Chairman,called the meeting to order at 6:02 p.m. and stated that agenda items would be addressed out <br /> of order listed on agenda since Jane Dolan has to leave the meeting by 7 p.m. <br /> Reports <br /> Events Room and Meeting Room Policies <br /> Jam Dolan reported:, . <br /> They are looping to consolidate policies. Jane said she has been working on reviewing the policies to see i <br /> there are redundancies and, if so,to consolidate, <br /> 0 Jane did some research on other library websites regarding fee structure. Fees vary from library to library. For <br /> instance, Sandwich allows for-profit groups to use their'meeting room;Provincetown limited use to non-profit <br /> or governmental agencies. Provincetown charges per hour for use of their rooms. Providence allows for fee <br /> events groins. They charge 1 00/hour for the meeting room but chanes$200/hour for groups who are charging <br /> for the event. <br /> 0 Jane spoke with Kathy Mahoney and Barbara Notaries this afternoon. ,lane said she personally is open to <br /> having'an income stream come in throw the meeting room,but felt if we do so we have to set strict parameters <br /> on who we charge and what we charge. Also, is the Town agreeable to our doing this? If yes, where does the <br /> money g <br /> 0 Barbara Not rius stated Haat she spore with Joyce Mason about this topic a year and a half ago before the 1 ibrary <br /> was open. Barbara said at the Senior Center Jim Long decides who pays or not and also how much is charged. <br /> By our giving roam use for free not only are we not making anything but we're depriving the Senior Center of <br /> income. Barbara said the Friends would provide personnel to monitor room events on library of-hogs and <br /> suggested that the Friends would receive the fees for performing this service,but Joyce Mason said it would not <br /> be possible for the Friends too keep the money, it would have to be deposited in a Town account but could be <br /> labeled for library use. <br /> 0 Barbara said little business groups have meetings ire restaurants and pay /hour—it would be wonderful to <br /> have that money coming in for the library. <br /> Mike Richardson commented that the account would have to be a separate,earmarked account because it is <br /> non-profit raising the funds. <br /> • Barbara said the meeting room policy could say if you are'a non-profit you have to appy for room a certain <br /> number of months ahead of time. <br /> • Kathy said that she feels the first thing we have to do is talk with Joyce Mason and have her talk to Town <br /> counsel about what we can legally do in terms of charging fees for the use of a town building,and then <br /> determine where the money would be deposited,and how it could be used. <br /> • Barbara said the Friends try to help when state/town funds are not available;but staffing is a Town <br /> responsibility. <br />
