Minutes - Special Events Committee Meeting <br /> Tuesday February 14, 2017 <br /> Mary presented the overall budget fromIast year. Special note is that while it <br /> appears to have been a "profitable" outcome fbr the year, we need to consider that a <br /> portion of the proceeds from Oktoberfest will be credited'to vendors for 017's <br /> event due to last year's rain out. Some vendors did receive refunds. It was <br /> disappointing to have to cancel, we had the largest group ever of vendors registered <br /> for last year event. <br /> Mary also announced the dates for-upcoming Special Events for 2017 <br /> Mary announced that the Chamber of Commerce would not be hosting the Annual <br /> 10K Oktoberfest Road Race. It is not something that the Special Events Committee <br /> wants to tale on. Some ideas to liven up our offerings; bile parade, decorated <br /> carriages or wagons- some thoughts about using Steeple Street extended for <br /> additional vendors or activities. That will have to be discussed and approved by <br /> lashpee Commons and Fire Dept./Emergency personnel, Police Dept. <br /> • The Chamber will be focusing on the Season of Illumination,during the holidays and <br /> the Tree Lighting at the Community Park will be part of their marketing <br /> • Community Picnicb <br /> 1. vendor registrations are available and sponsors are being contacted <br /> . We will once again be able to have vendors register and pay on-lire <br /> . The date will be Friday, June 30 with a rain date of Saturday, July 1 <br /> 4. We will not be able to have inflatables this year and will need to provide other <br /> types of entertainment; some suggestions were l araoke, DJ instead of a band, <br /> carnival type games (water guns x dart throws/balloon prize board, ring tosses, <br /> etc.). Heidi will look into those, <br /> S. Booth decoration contest, "Most Patriotic' <br /> . Add recycling bins to trash receptacles. Catherine will contact Corvosa <br /> 7. Lighting in pont-aj.ohns; wash stands, one bank of out-douses instead of spread <br /> out in two sections, lighting near the outhouses <br /> With the number of groups in town doing similar activities, Wayne suggested <br /> getting people together to once again try to create a "Community Calendar" or other <br /> way to communicate so that there are not conflicts or activities being replicated. <br /> Meeting was adjourned, next meeting will be 10 am on 'Tuesday, March 21, 2017. <br /> Respectfully Submitted, <br /> Mary I .
