i <br /> BOARD OF LIBRARY TRUSTEES <br /> REGULAR MON LY MEETING <br /> TNG <br /> TUESDAY, OCTOBER 8.2002 <br /> MASHP E LIBRARY MEE'T'ING ROOM <br /> Present: Ann MacDonald-Dailey, Alice Raupplus, Carlo D' ste, Gary Eynatian(arrived <br /> 6:55 p.m.), and Helene DeFoe, Library Director. <br /> Absent: Dianna Smith,Mimi Marsh, and David Burton,, <br /> The meeting cane to order at 6:35 p.m. <br /> Reports <br /> Helene DeFoe,, Library Director, gave a rundown.of the new system. She said Firm Ill <br /> said CLAMS' migration to their system was one of the cleanest processes they've seen. <br /> Helene noted they had a problem with,the system...there was a glitch that wiped out all <br /> locations, which rade for a disconcerting day. The other libraries of course encountered <br /> same glitches. workflow patterns have changed. They're rearranging tasks to make <br /> things work more smoothly. For instance, deliveries now done in front because that's <br /> where receipt printer is located. Helene expects to encounter less glitches down the road. <br /> She showed"Item Paging Dist"and said this method is <br /> impressive. they can go in <br /> multiple times. Some people getting book in one day; it's much speedier system. The <br /> "View/Hold"enables Helene to see outstanding"holds" and she can quickly do a remedy <br /> if a request falls through the cracks and doesn't link up with an available item. She noted <br /> it is frustrating that you can't see circulation history. She said their general consensus is <br /> that all like the new system much better. Helene mentioned statistics reports and said <br /> interesting to compare to other libraries,but she can't get only Mashpee breakdown yet. <br /> Had no training on report function yet. Helene feels there's a lot of potential here. <br /> Helene distributed copy of Janet urke's monthly report. Janet is In the middle of school <br /> visits. Copy of the report is attached to these minutes. <br /> Helene advised that Upper Cape Cod Reporter Lois Dempko talked with her and gave her <br /> the impression Joyce was in favor of her meeting with Department Heads. The feeling <br /> was Lois took liberties. Helene said she is cautious and so she discussed topics about <br /> herself. Joyce's point: Be careful how you phrase things. Helene�s interview appeared <br /> in Upper Cape Cod paper. <br /> Helene is working on annual fornns that have to go to Board of Library Commissioners to <br /> qualify for state aid. First part is due in September and Helene gave examples of Maes of <br /> statistics they ask for. The second part is due in October and is heavy statistics geared <br /> towards financial data. In order to stag certified you have to spend 19% of budget on <br />
