Furniture & Equipment/Status of Bids ( continued) page 5
Paul questioned the status of items Manny said he had either
supplementary or no information on to date in order to put
together the bids . John informed that some of his people are in
process of scheduling a common meeting date, others have
scheduled definite dates in order to prepare the lists of items.
Paul expressed concern that school will be starting and the
equipment will not be here; he feels there should be a commitment
. . . bidding involves two weeks . John said people will have to
understand that the first few months of school there are some
things we will not have . . . he has very flexible people .
Paul told Manny that he will speak to Chartwell after this
meeting ; we will start to develop a game plan in case a problem
arises; we will think about some alternatives in the local area
to arrive at a solution.
Joel .asked Manny about delivery dates on the technology education
equipment award just voted on. Manny informed that the contracts
are prepared. Lengthy discussion followed about Selectmen ' s
votes on recent contract awards , Chartwell ' s responsibility to
obtain the Selectmen ' s vote to approve the execution of a
contract, and the procedure for signing contracts. Manny
informed that the prepared contracts are dated today and must
first be signed by the vendors . Paul instructed Manny to send
out the contracts .
Manny discussed the punch list of existing work. He went through
the classroom area this afternoon; Jim and Tom have been given
information on what is expected and who the vendors are; as
equipment is brought on site, he has instructed that any obvious
damage be noted on factory receipts if we are not there to check.
3 (b) Technology. Summary by CCR on Voice, Data and Video Systems
Michael gave copies of a 4-page report (item cost and budget
summary) ; also, copies of a 20-page list with complete
description of equipment and total items required for each room.
Paul referred to page 1 , Technology Budget Summary; he questioned
Difference to Budget $183 , 516 .73. Michael explained that the
figure represents how much we have left to exercise against
$2 . 2 Million. Paul informed that current budget totals tie in
with Manny' s requests , yet we think you asked for more; when the
two totals are added together, we end up with a sizable amount of
extra money. Paul was then given a copy of CCR' s original total
request . . . he verified it was $2.3 Million. Michael explained
that they have been trying to be extremely good by working with
$2 .2 Million for all three of their package areas . Paul verified
that Michael actually has $283 , 516 . 73 left; Michael agreed. Paul
asked Michael if he agrees the total amount ( $2 , 016 ,483 . 27 )
listed on his Technology Budget Summary represents what Michael
and the School Department have agreed we need to buy subject to
something falling short. Michael agreed.
