Town of Mashpee —2— May 5, 1976
4. Various diaries and notebooks which did not contain any information
pertinent to the financial matters of the Museum.
s<
5. Correspondence files.
Audit Procedures;
Traced receipts from records in the ledger maintained by Museum personnel
z to deposits in the checking account.
During 1974 receipts recorded in the ledger amounted to $1,013.50. These
receipts which were for admissions and sales with minor exceptions were
traced to bank deposits. However, additional deposits of $1,441.30 appeared
on the bank statements and no records were available to show the source of
these receipts.
It is not possible to determine that the receipts recorded in the ledger
represent all receipts for admissions received by the Museum during this
period because no system was maintained to provide a count of persons visit—
ing the Museum.
During 1975 there was a notation in the ledger that admissions from i00
April 1, 1975 to June 30, 1975 amounted to $453.64. I was able to trace this
amount to amounts received by the Town Treasurer in six payments between
April 21 and June 30, 1975. There were no admissions recorded for the
period July 1, 1975 to July 6, 1975. For the period July 7, 1975 to Nov--
ember 30, 1975 admissions recorded and turned over to the Town Treasurer
totaled $1,544.39. With minor exceptions it was determined that all recorded
admissions were turned over to the Town Treasurer during 1975. As
previously noted there was no control maintained to insure that all admiss—
ions had been recorded.
During the year 1974, 42 checks were drawn against funds deposited in
the Barnstable County National Bank of Hyannis by the director of the
Museum. The records of the Museum contained invoices supporting three of
these checks and three other checks represented cash transfers to the Town
of Mashpee which were traced to the records of the Town Treasurer. The
balance of these checks, although nominal in amount and apparently for
expenses of the Museum, were not supported by invoices. No attempt was made
to communicate with the payees to determine the exact nature of these
payments.
