Minutes - Meeting of Mashpee Special Events Committee <br />Town Hall - Tuesday, April 12, 2015 <br />In attendance: M. Bradbury, H. McLaughIin, W. Taylor; M. Lawrence, S. Stogel <br />• Prior meeting minutes approved <br />BUDGET <br />• Mary reviewed the numbers from 2015 Community Picnic and reported that the event was <br />"break even" - the overage previously reported for the band was due to the omission of a credit <br />received when the band couldn't perform at the rain date. <br />• Mary reported that year end for all events was $2000 in the black <br />WEDS FARMERS AND CRAFT MARKET <br />• . Wednesday markets on hold as the issue has not received Selectmen approval. Earliest possible <br />approval date is May 2 which may be too late to get vendors onboard for a June market start. <br />Mary will talk to Diane Precourt to see if this time frame might work. <br />COMMUNITY PARK REGULATIONS <br />• New regulations reviewed. No issues. <br />FOOD TRUCK FRIDAYS <br />• Reviewed options to maximize parldng spots. Mary is in contact with potential vendors and will <br />ask for firm commitments to ensure continuity in vendor presence. <br />MEMORIAL DAY CEREMONY <br />• Mary reported that everything is in place -speakers, boy scouts, music etc. <br />COMMUNITY PICNIC <br />• Fee structure discussed at length to ensure fair yet competitive fees. New structure approved. <br />• Agreed that the stage will be behind school. <br />• Susan to submit online application template (RSVPBook.com) to Mary -Heidi by end of week to <br />simplify process.. <br />• John Gamache advised availability of Jamie Snyder band - Heidi will look at them and other <br />options. <br />• A/V - pending confirmation from John that Tracy and Doug are confirmed. <br />• Heidi reviewed entertainment, Mary reviewed food vendors. <br />• Mary has not heard back from CCB Media despite several contact attempts. Will not pursue. <br />• Chief Rullo has not advised of potential conflicts with police detail so assumption is that there <br />are no conflicts. <br />OKTOBERFIST <br />• Susan briefly demonstrated RSVPbook online registration site. Mary to set up meeting with <br />Town management/Susan to demonstrate the new tool and then blast email invitations can <br />go to approx. 300 crafters, artists, nonprofits and food vendors. Mary to send Susan all <br />food truck vendor email addresses to ensure list is complete. <br />• If response is high, discussed option of adding booths / spaces down Steeple Street. <br />Meeting concluded with Vext meeting set for May 101h at 10am. <br />Su itted by Susan St el <br />
