At approximately 7:38 the meeting resumed, with Ms. Phillips now rejoining the meeting.
NEW BUSINESS:
a) Biennial recertifications Chapter 667• Mrs. Botsford explained to the board that some housing
authorities have requested, and received, a waiver from DHCD to conduct biennial recertifications for
their Chapter 667 residents. This not only saves time and paperwork for the housing authority, but it
assists these elderly and disabled residents in not having to fill out a lot of paperwork every year, Mrs.
Botsford stated that she is hoping to get a waiver before the process starts in December. A motion was
made by Richard Halpern and seconded by Jill Allen to request a waiver from DHCD in order
to do biennial recertifications for the Chapter 667 program. The motion carried. Mrs. Botsford
will send a letter requesting it.
b) Communily Preservation Application.for funding: Mrs. Botsford had distributed a proposed CPC
application for funding for a new program in 2016. A short discussion ensued and it was decided that
since we will be putting in an application to continue the Housing Assistance Program, we would not put
any other applications for funding in at this time.
c) Travel Polic adoption. Mrs. Botsford had distributed a proposed Travel Policy to the board. Mrs.
Botsford stated that, although some items regarding travel are covered in the Personnel Policy, the Travel
Policy covers all the potentials for travel. A motion was made by Jill Allen and seconded by
Melissa Phillips to adopt the Travel Policy as presented. The motion carried. Mrs. Botsford will
make sure that all staff members receive a copy of it.
d) Computer Security Policy adoption.•_ Mrs. Botsford had distributed a proposed Computer Security
Policy to the members, which is based on the protocol we already have in place, and the required WISP
(Written Information Security Program), as referenced by Massachusetts regulations. A motion was
made by Richard Halpern and seconded by Kevin Shackett to adopt the Computer Security
Policy as presented. The motion carried. Mrs. Botsford will make sure that all staff members
receive a copy of it.
e) Mashpee Cares Committee: Mrs. Botsford stated that the board had agreed she would be the
representative for the housing authority however due to scheduling Mrs. Botsford has been unable to
make any meetings. Mrs. Botsford stated that meetings have been held in the evening and have either
been when she has had a board meeting or is in school. She didn't want the Town to think we were not
interested in being included, but her schedule just has not allowed her to attend. Mrs. Botsford
wondered if someone else would rather attend in her place. After a brief discussion, it was decided that
Mrs. Botsford could attend when it was convenient, and in the meantime if the committee needed
something specifically from the housing authority they could contact us.
OTHER BUSINESS: none
COMMUNICATIONS CORRESPONDENCE: none
MEETING ADJOURNMENT: A motion was made by Jill Allen and seconded by Kevin Shackett to
adjourn. The motion carried. The meeting was adjourned at 8:00 PM.
Respectf.allyubmi ed,
f ,
t`
keila Botsford, MPHA, / HM, C8P
Secretary
Executive Director
