i MMHP E FINANCE COMMITTEE MINUTES TUESDAY,MAY .3.)2000 Present: Chain lan Dean Arden .teff Arnold, Steve Cashnnan, Sidney Golub,James Morgan,Maryanne Gibbs Absent: Carlton Mcredith Also Present: Deborah Deni,'Town Clerk George Baker,Fire Chief Sheldon Hamblin,Fire Department ALL TO ORDER: The meeting was called to order by Chairman Deah Arden at 6:35 p.m.,at the Iiashpee'Town Hall, Conference Room 4L on'Tuesday,May 23,2000. TOWN CLERK REQUEST FOR TRANSFEM Town Clerk,Deborah Daum,was present at the meeting to request a transfer from the Reserve Fund in the amount of$176.71 to be Umsferred to the Election Expenses account, The present balance in that amount is$1,559.53 and the election expenses totaled$19736.24 fronn the May 610 2000 Annual Election. Town Clerk Dari explained that perviously the balance was lid out of the Town Clerk's side of the house. The moncy still sits in the Clerk's side of the house but she cannot get to it. The$176.71 transfer will leave the Election Bperes account with a balance of zero.The'Down Clem said the election expenses account is down to the wire every year. Next year it will.be tougher because there wih be three elections. Tbs year when going to budget time,she will move the money from the Clerk's side of house and pint it in election side of house,hopefully, she will not get cut from both. In 2002 it will cost more as they will have more precincts once redistricting is finished. They may go as high as seven precincts as the State wih determine haw many districts used on their population. Ms. Gibbs asked the balance in the Reserve Fund: Chamnan Arden said$74,150 out of an original of $95,000. Motto Transfer Money from Reserve Fund: Mr. Golub made meson that the Fmance Comnuttee approve the Request of Transfer from the Reserve Fund to the Election Expenses Account in the annount of$176.71 to pay for Eldon Expenses from the May 6, 2000 Annual Election. Motion seconded by Mr.Arnold. Vote: Unanimous. 6 TRANSFER FROM RESERVE FUND ACCOUNT-FIRE CHIEF BAKER: Fire Chief Baker stated tlmt he is asking for a transfer from the Reserve Fund in the amount of dP $59,567 and explained the reason for the request. A couple of things happened,a great error was made when reconciling the budget. In counting how many weep left for payroll,they miscounted. They were projecting for x,amount of weeks and missed one week k. Also,mother reason for shortfall is because they have been busy in Nay. They usually have 5 calls a day and#lis month they have had 9.7 calls. In the past 17%of duplicate runs happened in clusters,and more than % in M=h,April and May happened back to back. They are doing more multiple.calls and it is costing more.Regardless of the error,they are now in May and getting an enormous amount of multiple calls.
