BOARD OF LIBRARY Y T USTEES <br /> REGULAR MONTHLY MIFETING <br /> TOWN <br /> OCTOBER 14,2008 <br /> 1 OWN HALL MEETING ROOM 2 <br /> Present: Carlo D'Este,Jane Dolan,Nancy Soderberg,John Kowalski,Heather Lakatos,Dianna Smith, and Helene <br /> DeFoe,Library Director. <br /> Absent: David Burton <br /> Vice Chairman Nancy Soderberg called the meeting to order at 6:35 p.m. F <br /> ARprov l ofMinutes <br /> Heather Lak t s motioned to accept the minutes of the Meeting of September 9,2008 as presented; John Kowalski <br /> seconded this notion;and the motion was unanimously approved. <br /> Reports <br /> Helene DeFoe submitted her monthly report for September, as well as the CLAMS circulation statistics for that month. <br /> In addition,Janet Burk 's monthly report for September was provided. All reports were reviewed and are attached to <br /> the printed set of these minutes. In discussing the reports,the following budget points were also made; <br /> 0 while the new library building will be larger, with the energy-efficient measures talon we will be in better <br /> straits cost-wise. <br /> • with new building,we'll be looking for 2 additional full-time staff. That has to be considered in submitting <br /> budget request. <br /> 0 Jane Dolan asked about the 1 lashpee Cultural Council Open House Janet Burke held. Helene explained that this <br /> year they gave the Town of Ma. tepee o. Helene said that provided for programs such as the puppets show <br /> and special school programs. She said honey from the Cultural Council also granted funds to tale children by <br /> bus from the school to the library. Before they could walk to the library s part of a program, but now too far <br /> for them to walk. <br /> • Town was going to re-use several of the plantings from old 1 ibrary site. Things that were left were too large to <br /> be relocated. Removal of trees, etc.that are left will be the responsibility of the general contractor. <br /> • Helene advised that someone did remove a lot from inside the old building so a lot of things will get recycled. <br /> Joyce told the individual if he wanted exterior doors,etc,.he'd have to wait until the building is being torn don. <br /> a Jane Dolan suggested that maybe we should save a wheelbarrow of the bricks from the old library building for <br /> people who might want a memento. <br /> 0 Jane Dolan suggested that perhaps we aright want a"time capsule' buried somewherc at new library site. <br /> Planning and Construction Committee • <br /> Raney Soderberg attended the last meeting of this Committee and provided an update to the Trustees. Fancy said that <br /> Planning and Construction Committee is moving quickly and in a controlled manner. She said she was pleased with <br /> how Rick Polnro ,the Project Manager, handles himself. She said in addition.to being Project Manager,he will b <br /> Clerk of the works for the Library Project. Helene DeFoe added that she also is very pleased with Rick Fomroy's <br /> qualifications. He is very knowledgeable,very professional, and documents everything well. <br /> Friends of the Lil�ra�- <br /> It was noted that there is no room for the"pavers"at the new library site. This was a concern since contributors had <br /> already donated funds to purchase pavers. Jack Kowalski said the Friends will return the money to those who donated <br /> for pavers and explain to the contributors and hope perhaps they would like to redirect their contribution. when <br /> f questioned why layout could not be charged to include"pavers",Helene explained that the architect develops the <br /> specifications. All the engraved bricks will be at the back entrance of the new library. <br /> Jack Kowalski reported on the Annual fleeting of the Friends held ctobcr 0 The rite-up he provided is <br /> attached to the printed set of these minutes. <br />
