• OTHER ACTIVITIES
On April 2, I met with Kate Watt, Marketing Director for Mashpee Commons, to review
our plans for the Castleberry Fairs Fundraiser which will be held to benefit the Library in August
2012. Mashpee Commons is providing free use of the Green across from the Library for the
event. The event is moving along on schedule and Kate has been a tremendous supporter of the
Library and is working to make this event run smoothly for us.
On April 4, I attended the Town Department Head meeting. A variety of topics were
discussed including the proper protocol for using town email. We were reminded that emails
exchanged via town email addresses are considered public record, and the contents should reflect
this fact. It was also mentioned that town officials in various departments are advised not to
conduct town business using personal email accounts. After discussion with Jack Kowalski and
consultation with David Delvecchio (copied to Joyce Mason) a single town email account has
been established for the Library Trustees. This will serve as the official email account that can
be provided to the public in order to enhance communication. It is common practice for the
Chau and Secretary of boards or committees to monitor and respond to any messages in the
account. Jack and Pat Gamache (Corresponding Secretary)have agreed to be responsible for
monitoring and responding to the contents of the account, and forwarding or sharing any
necessary messages with the remainder of the Trustees.
A telephone extension has also been established at the Library, which is a voicemail box
only, but can be provided to the public in the event that the Trustees would like to have a
telephone number available to receive messages. Pat has also agreed to monitor messages if the
need arises.
On April 11, I attended the CLAMS Directors' meeting. The membership approved a
motion to use resources from the central fund to purchase a mobile version of the CLAMS
catalog. This new application will provide patrons access to the Library's online catalog via cell
phone or other mobile device. The membership also approved funds to purchase a new module
for the Circulation System which will allow patrons to register for library cards online. The form
will be completed online, and the prospective patron will then be able to search library databases
or download eBooks immediately. Patrons will have to visit their home library in person and
provide identification and proof of residency to pick up their permanent library card, which will
only then allow them to check out actual books and materials from the Library. Allowing
patrons to complete the registration form online, rather than having staff manually enter all of
the data while the patron waits, should prove to be a great time saver, and reduce the workload
on staff. I am on the four person task force charged with writing the policy to outline the
guidelines for implementing online patron registration.
Also at the meeting, a potential new system for determining fees for eBook purchases
was proposed. Currently each library is required to contribute a minimum of$250 to the
