Marie Stevenson, Gail Wilson, Lynne Waterman, Katherine Brown, <br /> Winnie Johnson-Graham, Elana Doyle, Louis Horner, Xavier Gonsalves (Non-Voting Member) <br /> Also Present: Kim Landry-Affirmative Action Officer John Cotton-Selectman Liaison <br /> Absent: Patty DeBoer, JoAnn Nadeau <br /> A member of the public was also in attendance at the meeting. <br /> CALL TO ORDER <br /> The meeting was called to order by Chairwoman Stevenson at 10:00 a.m. with a quorum. <br /> APPROVAL OF MINUTES November 20, 2018 <br /> It was noted that the minutes were drafted from a recording that was of poor quality and difficult <br /> to hear. In addition, Chief of Police, Scott Carlin, provided notes from his presentation, copies <br /> of which were provided to Committee members. Changes were proposed. On page 2, under <br /> Develop Process for Response to Resident Concerns, mid paragraph, Ms. Wilson requested that <br /> the sentence be changed to"Ms. Wilson cautioned about our role as a Town Committee and not <br /> to go outside the scope of our mission." The sentence immediately prior to Ms. Wilson's <br /> statement was corrected to read"Ms. Waterman suggested referring individuals to the <br /> appropriate resources." Under the 2019 Schedule, "Massachusetts Cultural Council" should read <br /> "Mashpee Cultural Council." Under Individual Member Report, Ms. Wilson clarified the <br /> statement to read, "Several librarians are receiving some training she would like to discuss at the <br /> meeting." There was clarification regarding the Housing Assistance Corporation. <br /> MOTION: Ms. Johnson-Graham made a motion to approve the minutes. Ms. Brown <br /> seconded the motion. All voted unanimously. <br /> APPOINTMENTS & HEARINGS <br /> None at this time <br /> COMMUNICATIONS & CORRESPONDENCE <br /> None at this time <br /> OLD BUSINESS <br /> Process for Response to Community Concerns-The Chair developed ideas for creating <br /> a process to respond to community contacts, which could be either positive or a concern. <br /> Phone Call-Actively listen to suggestions or concerns. Affirm or repeat what <br /> was heard. Document what was heard, including date and time. <br /> Email/Text-Document, affirm or repeat what was stated. <br /> Explain Role of Committee-Send copy of policy and statements and/or refer to <br /> web page. <br />
