MASHPEE COMMUNITY GARDEN ADVISORY COMMITTEE (MCGAC) <br /> MEETING MINUTES <br /> JANUARY 16, 2019 - 7:00 P.M. <br /> MASHPEE TOWN HALL <br /> Present: Virginia Scharfenberg, Pamela McCarthy, Mohamad Fand, Anthony Oliver, <br /> Irene Checkovich, Michael Talbot, Stephanie Simpson <br /> Call to Order <br /> Chairman Virginia Scharfenberg opened the meeting at 7:00 p.m. <br /> Minutes — December 19, 2018 <br /> Motion: Michael Talbot moved to approve the minutes of December 19, 2018, <br /> seconded by Pamela McCarthy. Vote unanimous 6-0-1 with Stephanie Simpson <br /> abstaining. <br /> COMMUNICATIONS & CORRESPONDENCE <br /> Thank you letters to 3 subcontractors for CPC proposals. <br /> The Chair reviewed three thank you letters she prepared to subcontractors for CPC <br /> proposals. The members suggested a few changes which will be made before sending them <br /> out. <br /> Town of Mashpee Web Page — MCGAC Proposed Text <br /> Michael Talbot distributed a draft of text to be included on the MCGAC web page. Following <br /> a discussion, Mohammed stated he would submit the text along with the list of members to <br /> the IT Director. <br /> Status of Town Review of MCGAC Rules and Regulations, etc. <br /> The Chair stated there was no update on the Rules and Regulations from the Town <br /> Manager's Office. The Committee agreed that these need to be formalized in order to put <br /> them on the website along with the application form. The Chair said she would contact <br /> Wayne Taylor to see if he would meet with her and Irene in order to finalize the rules and <br /> regulations and to answer some questions that Irene had. The questions included: <br /> 1. What is the process for obtaining donations from local vendors. Who do we notify of <br /> ash, gift card, or "in Kind" donations"? Who officially writes back to them to <br /> acknowledge their donations in writing (our committee or a town official)? To confirm, <br /> could they then be listed on the MCGAC Town website as "Garden Sponsors"? <br /> 2. When we start getting application fees, who do we give the3se fees to: Can MCGAC <br /> obtain a revolving account so these application fees and cash donations can be used <br /> in support of the Community Garden? If so, does each expenditure need someone's <br /> approval other than the committee before any funds are spent? <br /> 1 <br />
