Women's Institute that, although DHCD was their nod of approval,their General Council <br /> has stated that they will not, at this time, approve any contracts between a private entity <br /> and a public entity. Mrs. Botsford stated that this all just came to her attention today and <br /> does not know all the details, but it appears that it is possible that in a couple years' time <br /> this current decision could be reversed. A short discussion ensued, and all agreed that it <br /> was too bad this had occurred. Mrs. Botsford will keep members informed if she gets <br /> any more information. <br /> NEW BUSINESS: <br /> a) Earned time—buy back Maintenance Director: Mrs. Botsford stated that she actually had <br /> two requests of the board. Since COVID-19 hit in March, it has been impossible for any <br /> of the 3 full time employees to take any time off(this includes Mrs. Botsford,Assistant <br /> Director Carol Mitchell, and Director of Maintenance Vincent Gault). All three had <br /> some personal days that were to expire in April. Personal days are the only benefit that <br /> does not go by calendar year which really should, per the updated personnel policy. <br /> Because they could not use them in time, Mrs. Botsford is requesting the board allow <br /> them an extension to use their personal days until the end of June. A short discussion <br /> ensued, and a motion was made by Richards Halpern and seconded by Kevin <br /> Shackett to allow the full-time staff until June 30,2020 to use any personal days on <br /> the books that would have expired in April. The motion carried unanimously. Mrs. <br /> Botsford thanked the board and stated she will inform Ms. Mitchell and Mr. Gault. She <br /> will then realign personal day schedules so that they better align with the calendar year. <br /> Mrs. Botsford then stated because people are not taking vacation time any time soon, and <br /> the maintenance man usually ends up with time on the books at the end of the year, she is <br /> worried that he, in particular, will not have the time to use all of his vacation time this <br /> year. She does not want him to have to forfeit it either. With the board's permission, <br /> Mrs. Botsford would like to offer him a one-time opportunity to buy back 50% of his <br /> vacation time currently on the books for pay instead of time off. It was noted that this <br /> would be voluntary on Mr. Gault's part and that, should he decide not to want the buy- <br /> back,his time would accumulate as normal, but,per the Personnel Policy, only two <br /> weeks can be carried forward into 2021 if he does not use all of his vacation time. <br /> After a short discussion, a motion was made by Kevin Shackett and seconded by <br /> Richards Halpern to allow Mrs. Botsford to offer Mr. Gault a one-time opportunity <br /> to buy back 50% of his accrued vacation time at his regular hourly rate,no later <br /> than June 30,2020. The motion carried unanimously.
