Betty Nichols made a motion, seconded <br /> by Marty Henry, that the minutes from the 3/15/02 meeting be accepted. The motion was unanimously <br /> approved. <br /> Contract Review. John Catlin stated that he had received the contract, had scanned it but had not yet <br /> thoroughly examined the document. He planned to complete a careful reading of the document tomorrow <br /> and will be in touch with us if there are any issues or concerns. Joyce Mason asked that JCA Associates <br /> agree not to hold the Town of Mashpee to the full amount of the fee agreed upon if the funding is not <br /> approved in May 2002. Mr. Catlin concurred. <br /> The meeting was turned over to Heidi Sokol. Heidi walked through the process of calculating the cost of <br /> our proposed new building. Using our approved budget amount of$1.9MM and the current estimated <br /> cost to build of$160 per square foot, the gross square footage result is 11,500. After adding in TPC (total <br /> project costs)the net square footage is reduced to 8,850. We need either to revise our space <br /> requirements or increase our budget in order to come up with our original plan of 12,000 square footage. <br /> Heidi then went through the new Senior Center plan room by room, doing a comparison of the <br /> Committee's suggested square footage for each room with what JCA might recommend, based on JCA <br /> experience with other Senior Center projects they have worked on. A recap of the discussion follows <br /> below. <br /> MAIN ENTRY—will include reception area with office and administration area adjacent. We will not need <br /> a Gift Shop. <br /> PROGRAM AREAS <br /> Lounge, adjacent to the reception area. Multipurpose area or great room, large enough for banquet <br /> seating for 160. The committee agreed that it is critical to determine the size required for this area in <br /> order to meet our requirements. It was suggested that we go for 3500 square feet, and cut back in other <br /> areas. Storage area—400 sq feet should be adequate, and should be located adjacent to the great <br /> room. Meeting rooms—arts&crafts, 500 sq. ft; art storage, 100 sq. ft.; clean room and dirty room are <br /> ideal for an arts&crafts area, if space allows. Arts and crafts are not currently a popular activity for the <br /> Seniors, but that could change. Three additional meeting rooms, 600 sq.ft. Partitions for meeting <br /> rooms are useful, but cost around $12,000, and often look institutional. Outreach Room/card <br /> room/conference room—220 sq ft. All agreed that three small tables would be preferable to one long <br /> conference table. Smaller tables can be used for card games and encourage other small group activities. <br /> Tables can be pushed together if a long conference table is needed. Exercise/fitness rooms are a <br /> strong suit for the Mashpee Senior Center. JCA suggested a closed circuit TV in the exercise rooms, for <br /> monitoring purposes. Computer Room-450 sq.ft. Five years out, Investment Clubs will use the room. <br /> Game Room—600 to 700 sq. ft will be needed for two billiard tables. Wellness Room—Outreach will <br /> need space for meetings and family counseling sessions. Administration area— 150 sq. ft. <br /> recommended. Would include Outreach office as well.as an office for the Director of the Center. Storage <br /> area for the offices is necessary and currently is inadequate. Kitchen—400 sq.ft. Will need a <br /> pantry/storage area adjacent, with room for a small desk." <br /> Rest rooms -we will need to determine the number required. <br />
