• Another activity during this stage is the review of <br /> drawings and specifications to ensure compliance <br /> with your requested quality levels and also to <br /> ensure that any remedial action considered <br /> necessary to the cost checking process has in fact <br /> been implemented. The cost controller should also <br /> collaborate with the architect in the preparation <br /> of the General Conditions of Contract and Bid <br /> documents to ensure that particular items such as <br /> unit rates and alternatives prices are drawn to the <br /> bidder's attention. <br /> What if the bids do come in over budget? <br /> Certainly, given that no one can predict market <br /> - conditions with any certainty, it will sometimes <br /> happen that bids will come in over budget. What <br /> '. should you do? Whatever you do, the reaction <br /> should not be panic. The cost control process has <br /> generated a great deal of in-depth information on <br /> all aspects of the project. With the assistance of <br /> the cost controller and the architect, the client <br /> can negotiate, in most cases, and bring a project <br /> • in within budget limits. <br /> How is the cost reporting furnished to you <br /> throughout the process? <br /> Formats can vary, of course, but fairly typically <br /> the cost plan, subsequent cost checks and final <br /> estimate are presented to the client in an <br /> organized progressive manner. <br /> Cost reports should be presented in elemental <br /> summary form and be reconciled with the preceding <br /> estimates with reasons for any differences. Further <br /> breakdowns into sub-elements should also be <br /> T provided, and these, together with item-by-item <br /> estimate detail, should be furnished to the <br /> architect. This enables the architect to monitor <br /> his or her own work development. Pre-bid cost <br /> report should be presented in a trade summary form <br /> to enable divert comparisons with contractors' <br /> bids. <br /> 18 <br />
