She also thinks that we <br /> should contact DHCD to see if they will support a move or taking a unit off-line to expand the <br /> current office. <br /> NEW BUSINESS: <br /> A. Amendment#7 to CFA—for FY 2022 Formula Funding: Previous to the meeting, Mrs. <br /> Botsford provided members with the documents pertaining to Amendment#7 to the housing <br /> authorities Contract for Financial Assistance with DHCD. This amendment reflects the formula <br /> funding the housing authority will be receiving for Fiscal Year 2022 if the contract is signed. <br /> The contract was reviewed and the resolution considered. A motion was made by Jill Allen <br /> and seconded by Richard Halpern to approve and adopt Amendment#7 to the Contract <br /> for Financial Assistance with DHCD. The motion carried unanimously. <br /> B. Annual Report to Town: Mrs. Botsford advised members that the town did not contact her as <br /> usual requesting an annual report until recently. We had been mistakenly left off of the original <br /> distribution list. Because of the deadline, Mrs. Botsford created the factual report and submitted <br /> it to the town. A copy of the report had also been distributed to the members before this meeting. <br /> Copies will also be available to residents at the housing authority office. Members thanked Mrs. <br /> Botsford for preparing and submitting the report. <br /> C. Executive Director's Contract: Mrs. Botsford provided members with several items before <br /> the board meeting as it relates to Executive Director's contracts, DHCD guidelines, and the <br /> lawsuit currently getting underway through MassNAHRO on behalf of Executive Directors. <br /> The information was sent for informational purposes as the authority decides how to proceed <br /> with Mrs. Botsford's contract which expires June 30, 2019. Both parties, being interested in <br /> renewing the contract for a five-year period, discussed the options available. After some <br /> discussion, a motion was made by Jill Allen and seconded by Lisa Meizinger to review a <br /> five-year contract, similar to the one in place,which reflects the language and <br /> modifications desired. Further that the contract be negotiated, approved, and signed by <br /> the two parties at a future meeting as allowed by Massachusetts State Law. The motion <br /> carried unanimously. <br /> D. Personnel Policy pdate: Mrs. Botsford provided members with a sample policy provided to <br /> all housing authorities which had been done by a labor attorney for MassNAHRO members. It is <br /> quite extensive and has all of the language required by law and sections that you can tailor to <br /> your housing authority, with notes from the attorney. Mrs. Botsford thinks it would be a good <br /> draft to use in updating the MHA personnel policy, so she will be working on that in the next <br /> couple months. <br /> E. Application for Sustainability Awards: Mrs. Botsford had provided members with a copy of <br /> an application she put in for special grant money. The grant would be to install new storm doors <br /> at Homeyer Village, which is a job in our Capital Improvement Plan. Mrs. Botsford just received <br /> word that our grant has been approved. This is great news for the housing authority, as it will <br /> free up money in the CIP to do other work. DHCD requires a letter to go out to tenants that <br /> Page 3 of 4 <br />
