Mrs. Botsford reported that the new software is going well, although there is more training <br /> needed for staff. Training will take place later this month. Maintenance now has use of tablets <br /> while doing work orders and inspections. <br /> Mrs. Botsford mentioned that with the new Handsfree law, she wanted to get the board's opinion <br /> on whether they thought we needed a policy or if a notice to staff would suffice. Attorney Pat <br /> Grace had forwarded suggested wording. There were many differing opinions on the matter. <br /> After a brief discussion, it was decided that a policy wasn't necessary, but that Mrs. Botsford <br /> could offer the purchase of a mount for a telephone in the housing authority vehicle since it did <br /> not have Bluetooth capabilities. Mrs. Botsford felt that there was nothing necessitating taking <br /> calls while driving but would pass on the offer to purchase a mount, while instructing staff that <br /> the housing authority would not be held liable for accidents that incur if staff was using their cell <br /> phone for housing authority work(handsfree or not). <br /> OLD BUSINESS: <br /> A). Bank Accounts transfer to Rockland Trust: Mrs. Botsford reminded the board that they <br /> voted to allow the transfer of our bank accounts from TD Bank to Rockland Trust. Rockland <br /> Trust has provided the necessary documents to open the new accounts and requires the board to <br /> vote on the authorizations and to provide signatures. A motion was made by Richard Halpern <br /> and seconded by Kevin Shackett to again authorize the transfer of all accounts and funds <br /> from TD Bank to Rockland Trust and to approve all members plus Mrs. Botsford as <br /> authorized signatories on all accounts. The motion carried unanimously. The paperwork <br /> was filled out and signed and Mrs. Botsford will get everything to Rockland Trust. She will also <br /> get in touch with DHCD about making sure that our payments start coming into our new account <br /> once established. The process will probably still take a little time to complete. Mrs. Botsford <br /> mentioned that we have a small savings account for a.few pet security deposits we hold for a few <br /> residents. She mentioned that the process for collecting deposits, issuing interest payments is <br /> cumbersome and burdensome for such a small amount. A motion was made by Richard <br /> Halpern and seconded by Lisa Meizinger to issue refunds to all residents that we are <br /> holding a pet security deposit for, close the account, and no longer require pet security <br /> deposits from residents with pets. The motion carried unanimously. <br /> NEW BUSINESS: <br /> A). Agreed Upon Procedures (AUP)—resort and responses: Mrs. Botsford had distributed the <br /> AUP to members previous to the meeting. The auditor needed to get it in to DHCD, so Mrs. <br /> Botsford created appropriate responses and submitted it on behalf of the board. The AUP was <br /> reviewed, as were the responses, and a motion was made by Richard Halpern and seconded <br /> by Lisa Meizinger to accept the AUP report and approve the responses as presented. The <br /> motion carried unanimously. <br /> B). DHCD Subsidy greement Renewal: Mrs. Botsford presented the board with DHCD's five- <br /> year Subsidy Agreement which was due for renewal. A motion was made by Lisa Meizinger <br /> and seconded by Kevin Shackett to accept the Subsidy Agreement and have Mrs. Botsford <br /> sign and return it on behalf of Mashpee Housing Authority.
