STEM kit items was raised, and who the kits were promoted to. Kathy said that the items are not
insured but patrons must sign an agreement when checking them out accepting responsibility for lost
or broken kits. The kits will be promoted to children and families once the policy is approved, but they
will be available for checkout to anyone.
There was suggested clarification to ensure that patrons of all ages must sign the form to check out a
kit. The wording will be amended. It was also questioned whether the kits would be visible in the
CLAMS online catalog and if patrons could place waiting list holds on the items. Per Kathy, the items
will show in the catalog just like books or other.materials. Kathy will fiarther discuss the question of
hold requests with Janet Burke.
MOTION: Sandra Horsman motioned to approve the STEM Kit Circulation Policy. As part of the discussion,Kathy
shared that she had been told that there is interest in organizing voter registration drives at Cape
libraries including Mashpee during the time-frame of June 14-16, 2018. Voter registration drives are
permitted under the Library policy as non-political, civic activities. The library has voter registration
forms on hand for patron convenience but the forms must be turned in at the Town Clerk's office for
the registration to be complete. There was concern and discomfort expressed that the proposed voter
registration drive would be political and only certain groups or parties would be invited to participate.
It was discussed and agreed that voter registration drives held at the library would be open to all. Kathy
pointed out that voter registration drives are already an approved civic activity at the library per the
policy. All agreed to leave voter registration as an allowable activity in the Meeting Room Policy and
that these meetings should be open to all.
Other questions included how far in advance requests for meeting space could be submitted. Kathy
said requests could be submitted three months in advance. The question was asked if confirmed
meetings could be preempted by the library. It is in the policy that the library can pre-empt a scheduled
meeting if circumstances require it. This seldom happens, but library and town events and meetings
have priority over other activities.
It was asked why groups would be given two no-shows to confirmed meetings before they are no
longer allowed to book meeting space. Kathy explained that situations sometimes occur that cause a
group to fail to notify the library that they will not arrive for a meeting. We want to make the library
accessible and give groups the benefit when we can. Two "no-shows"is fair and this has not ever
happened; most groups show up when scheduled.
a
