3
Community Preservation Committee
Minutes
November 7, 2019
Deborah Dami Town ClerkâVault Retrofit: (continued)
Retrofitting the vault with mobile shelving would increase the vault storage by approximately
60%. The vault currently stores all of the vital records for the Town as well as IT data for the
Town's computer servers in addition to ZBA decisions, and election ballots.
Ms. Dami indicated that some of the record books from the CPA restoration project would be
stored in the vault, and some of which would be stored in the Mashpee Archives building.
In May of 2019, the Town Clerk's Office received CPA funding to begin the restoration project
to restore and bind public record books. The project received a letter of recommendation from
the Town's Historical Commission dated January 9, 2019 acknowledging their unanimous vote
that town records and documents are of historical significance to the understanding of the history
and culture of a town.
As discussion followed it was recommended the CPC obtain an opinion from the Historical
Commission to determine its eligibility and to ensure this project is a historic resource that would
qualify for CPA funding. An alternate funding source such as the CIP was considered.
In reviewing this project, it was agreed that it is important to preserve vital records and to obtain
the resources necessary to maintain historic records. Communication from the Historical
Commission was received regarding the historical significance of records and documents. The
CPC agreed to move forward to act on this proposal.
Motion made by Mr. Larkin to approve and recommend to the May 2020 Special Town
Meeting the CPA Application to Retrofit the Vault in the Town Clerk's Office in the
amount of$27,790.86.
Motion seconded by Mr. Halpern.
The motion was amended by Mrs. Thayer to round the figure to: $27,800.
The motion was seconded by Mr. Halpern.
VOTE: 4-1.
